Booking page for language teachers

Online booking for language teachers is where Klendr starts, not where it ends. It is a booking and accounting system for language lessons: students book a trial or a B1 class from a link, while the same calendar invoices employers, tracks the coursebooks you sell, keeps student records and shows your monthly reports.

Beyond online booking for language teachers: invoices, coursebooks and student records together

A language teacher juggles private learners who pay themselves, employees whose company pays, and students who move from A2 to B2 over a year. Keeping that straight in a spreadsheet takes an evening a month. In Klendr the lessons in your calendar already carry the data for invoices, records and reports.

  • Accounting and invoices — a PDF invoice with VAT and the company's details for corporate English lessons, sent automatically after each lesson or once a month, with a due date and late interest. At month end, export all invoices as CSV plus a PDF archive for your bookkeeper; Stripe deposits can be exported too. See payments and invoices.
  • Inventory management — coursebooks and workbooks you resell to students go on the same invoice as the lesson, and you get an email before the last B1 workbook is gone.
  • Student records — every lesson, level, topic, amount paid and missed hour in one card: "Anna, B1, business emails, 22 lessons since March".
  • Analytics — earnings per month and per teacher, hours taught, the busiest evenings and the most booked languages and levels in analytics.
  • Online booking and reminders — your link on Google Maps or a booking form inside your website, confirmations and SMS reminders in the student's language, and a calendar with A/B weeks and separate dates.

Why online booking for language teachers fits adult students

Most people who take private language lessons are adults with jobs: they want 7:30 before the office, a lunch-break lesson on Wednesday or Sunday evening. They also travel, so lessons move all the time. Agreeing on each of those changes in a chat is half an hour a day that nobody pays you for.

With a booking page the student sees your real free hours and books in four steps, without an app or an account. If a business trip comes up, they move the lesson themselves through the link in the confirmation email, and the hour they freed is open again for someone else. You only look at the calendar.

The trial lesson: the first step should be easy

A new student rarely books ten lessons at once. They want to meet you, hear how you teach and find out their level. Make a short "Trial lesson and level check, 30 min" service with a low price and put it first in the list, so it is the obvious button for a stranger who found you on Google.

After the trial you note the result in the client card: "A2, wants to speak at work, weak in past tenses, prefers evenings". The next time this person books, the note and the visit history are right there, and you prepare without searching through old messages.

Levels, goals and formats as services

A language teacher sells more than one kind of lesson: general English for beginners, conversation practice for B2 students, exam preparation for IELTS or a state language exam, business vocabulary for a sales manager. Create each as a service with its own length and price and collect them in groups by language, so a student finds "German, B1–B2, 60 min" in two taps.

Several services can also go into one appointment, for example a 60-minute lesson plus 30 minutes of essay feedback before an exam. The calendar blocks the full time, and the price adds up automatically.

Online lessons: the link comes from you

Many language lessons happen online, with students in another city or even another country. Klendr has no video calls built in, and that is on purpose: you keep working in Zoom, Google Meet, Teams or Skype, the tool your students already know. Make "online" a separate service and write in the description how the student gets the link.

A simple routine works best: when the booking comes in, you send your meeting link by email or WhatsApp, or you give regular students one permanent room link. In-person lessons at your place or in a café get their own service with the address in the description.

Seven languages for students who are still learning

Your students are, by definition, not fluent in the language you teach. That is why it matters that Klendr works in English, Russian, Estonian, German, Finnish, Latvian and Lithuanian, and reminders go out by email and SMS in the client's language. A Ukrainian student who is just starting Estonian gets the reminder in Russian, not in a language they are still learning.

The same goes for you: switch the dashboard to the language you are most comfortable in. Need to tell all your students about summer hours? Send an email campaign to everyone or only to the students who chose a certain language.

This is how lessons by language and level look on the booking page. The duration decides how long the calendar is blocked, so an exam session does not run into the next student.
