Booking page for psychologists

Online booking for psychologists lets a new client take the first step without a phone call, and Klendr then handles the admin of your private practice: one calendar for sessions and reminders, invoices and a monthly export for your accountant, a small stock of workbooks, a session history per client and analytics of hours and income.

More than online booking for psychologists: the admin of a private practice in one place

A therapist's evening admin rarely concerns the sessions themselves: which employer still needs an invoice for March, how many meetings a client has had this year, whether Tuesday evenings are full enough to keep. Klendr answers this from the calendar your clients already book into, so the practical side stays short and separate from the therapeutic work.

  • Accounting and bookkeeping — a PDF invoice for each session can go to the client automatically after the hour, or to an employer with a due date; VAT is shown if you are registered for it. Each month you export the invoices as CSV and a PDF archive, together with deposits and no-show fees collected via Stripe, for your accountant. Klendr prepares the documents; the books stay with the accountant. See payments and invoices.
  • Inventory management — if you sell or hand out workbooks, books or metaphorical card decks, keep them as products: a sale goes onto the session invoice and an email arrives when only a few copies are left.
  • Client records (CRM) — dates of all sessions, format, amounts, missed sessions and a line of practical notes in one card. It is a scheduling record, not a clinical file, and it can be exported.
  • Analytics and reports — revenue, hours worked, sessions per week, the most booked session types and your most regular clients in analytics, useful when you plan your caseload and supervision time.

Why online booking for psychologists lowers the threshold

For many people the hardest part of therapy is the first contact. Calling a stranger and explaining why you need help is a big step, and a voicemail with "please call me back" is often never followed up. A booking page removes that moment: the person reads about you, sees the type of session and the price, and books when they feel ready, even at midnight.

For you it means fewer interruptions. During a session the phone stays off, and between sessions you need the ten minutes for notes and a breath, not for a round of messages about "do you have anything next week". The appointment simply appears in your calendar with the client's name, phone and email.

The 50-minute hour, weekly clients and online sessions

Most therapists work in a 50-minute session with a short gap for notes. Klendr has no separate buffer setting, so set the service to 60 minutes and write "50-minute session" in the description: the client sees what they get, and the next person can never be booked into your writing time.

Long-term clients usually come at the same time every week. At the end of a session you add the next appointment yourself in a few seconds, or the client books it from your permanent link klendr.me/your-name. If you work evenings only every other week, alternating A/B weeks keep both schedules in one calendar, and the schedule for separate dates covers holidays and supervision days.

Create "Online session" as its own service with its own price and length next to the in-person one. The client chooses the format at the very first step, and you see in the calendar which hour is in the office and which is on screen.

Klendr has no built-in video calls. You run the session in the tool you already use, such as Zoom, Google Meet or Teams, and send the meeting link to the client yourself, for example by email after the booking arrives. With Google Calendar or Apple Calendar sync the session sits next to your private plans, so you can attach the link there if that is how you work.

Discretion on the booking page and in the client card

The booking page shows only free times. A client never sees who else is booked or why, and nobody needs an account to make an appointment: name and phone are enough, email is optional.

In the client card you can keep short working notes and see the visit history. These are your own notes inside a scheduling tool, not a medical or clinical record, so write down only what you really need for planning, such as "prefers online on Thursdays" or "invoice to the employer". Your detailed case notes belong where you keep them today. The client list can be exported at any time.

Late cancellations and missed sessions

An empty hour costs a solo practice a full fee. A reminder by email and SMS the day before gives the client time to move the session via the link in their confirmation email instead of simply not appearing, and the freed hour opens on your booking page for someone on your waiting list.

If your practice has a cancellation policy, Klendr can support it through Stripe. You choose one of two modes for the whole account: a deposit, a percentage of the price taken at booking and refunded if the appointment is cancelled, or a no-show fee, where the card is saved and the percentage is charged only if the client does not come. What a private practice gets in Klendr

Everything works in the browser on your phone or laptop, and on Android there is an app in Google Play.

  • A calm booking page — your photo, a short introduction, session types and prices on one link for your website, Google profile or therapist directory listing. See the booking page.
  • Reminders in the client's language — confirmation right away and a reminder the day before by email and SMS. Details in notifications.
  • Calendar for regulars — day, week and month view, breaks, vacation, A/B weeks and dragging a session to another hour. More on the calendar.
  • Website embed — add the booking form to your own site with the WordPress plugin, Wix, Shopify or Tilda.

This is how session types look on a therapist's booking page. The length includes the gap for notes, so the calendar always keeps that time free.

Questions about booking software for therapists

Can clients book a therapy session online without calling?

Yes. They open your link, choose the session type and a free time, and leave their name and phone. No app or account is needed, and you get the booking in your calendar right away.

Does Klendr have video calls for online therapy?

No. Online sessions are a separate service in the calendar, and the call itself runs in Zoom, Google Meet or another tool you choose. You send the link to the client yourself.

Can other clients see who has booked?

No. The booking page shows only free times, never names or reasons for the visit.

Is the client card a clinical record?

No. It is a place for short working notes and visit history inside a scheduling tool. Keep there only what you need for planning and keep clinical documentation where you do now.

How do I handle late cancellations?

Reminders the day before let clients reschedule in time via their email link. You can also turn on a deposit or a no-show fee through Stripe as one setting for the whole account.

What does a booking system for a psychologist cost?

After the 14-day free trial, Individual costs €10 a month or €96 a year. Individual Plus, at €15 a month, adds 50 SMS for session reminders.
