Booking page for tattoo studios

Klendr is tattoo studio booking software that also keeps the books: one link for consultations, flash and multi-hour sessions, plus VAT invoices for your accountant, inventory management for ink and cartridges, client records with every session and analytics on revenue and profit. One calendar instead of DMs, spreadsheets and a notebook.

More than tattoo booking: accounting, stock and client records in one calendar

Running a tattoo studio is not only drawing and booking. After the session someone has to write the invoice, count the cartridges left, remember what was agreed for the next sitting and see whether the month paid off. In Klendr all of that hangs off the same appointment the client booked online.

  • Accounting and bookkeeping — a PDF invoice with VAT goes to the client automatically after the session, with a due date and late fee if you work with businesses. At the end of the month you export all invoices as CSV and a PDF archive, and deposits paid through Stripe, for your accountant. Klendr prepares the documents, it does not replace accounting software. See payments and invoices.
  • Inventory management — set a material recipe per service, for example a three-hour session uses eight cartridges, gloves, cling film and stencil paper, and stock goes down with every appointment. Aftercare balm sold at the counter goes through the invoice, and an email arrives when black ink runs low.
  • Client records — every sitting of a sleeve, the amounts paid, no-shows and your notes on placement and healing sit in one client card, and the whole base can be exported.
  • Analytics — revenue, money spent on ink and needles, profit, hours actually tattooed and the busiest days, plus top services and clients. Open the analytics.
  • Booking and reminders — the booking page, deposit and SMS reminder are part of the same system.

Why tattoo studio booking does not belong in Instagram DMs

Most tattoo enquiries start in direct messages: a reference photo, a question about price, then ten messages to agree on a date. Multiply that by every follower who asks "do you have anything in March?" and the artist spends evenings answering instead of drawing.

With an online booking page, the conversation about the idea stays in your DMs, but the date, the session length and the deposit move to one link. The client picks a slot that actually fits a four-hour session, leaves contact details and pays the deposit. You open the calendar and the appointment is already there, with the email confirmation sent.

From consultation to the last session of a sleeve

A tattoo is rarely one visit. First comes a short consultation to discuss the idea, placement and size, then you draw the sketch, then one or several sessions of two to six hours. Set each of these up as a separate service with its own duration: "Consultation, 30 min", "Session, 3 h", "Full day, 6 h". The booking page will only offer start times where the whole session fits before closing time.

For a back piece or a sleeve you can book the next sessions yourself right after the first one, while the client is still in the chair. Drag an appointment to another day if healing takes longer, and the client gets the new time by email.

The client card keeps the history of every visit and your notes: the agreed sketch, placement, size in centimetres, colour or black and grey, skin reactions, healing notes. When the client returns for session three, everything is in one place instead of scattered across chats.

Tattoo deposits paid online, before the session

A deposit is standard in the tattoo industry for a good reason: the artist spends hours on a custom sketch and blocks half a day for the session. If the client simply does not show up, that time cannot be sold again at short notice.

In Klendr the client pays the deposit by card when booking, through Stripe. You set the deposit as a percentage of the service price. If the client cancels within your terms, the deposit is refunded automatically. Read how it works on the deposits and payments page.

What a tattoo artist gets in Klendr

Everything works in the browser on your phone and computer, and there is an Android app in Google Play.

  • Booking link — put it in your Instagram bio, Linktree, Google profile or on a QR code at the reception. Clients book without installing an app or creating an account. More about the booking page.
  • Services with "from" prices — list a price like "from €80" or an hourly rate, add photos of your work and group services into consultations, sessions and flash.
  • Reminders — email confirmation right after booking and a reminder by email and SMS the day before, in the client's language. Details on the reminders page.
  • Self-service changes — the client moves or cancels the appointment from the link in the email, so a free slot appears in the calendar instead of an empty chair.
  • Calendar — day, week and month views, breaks and holidays, alternating A/B weeks and separate hours for specific dates. See the calendar.
  • Google and Apple Calendar sync — appointments show up next to your personal plans.

Guest artists, flash days and booking months ahead

Popular artists are often booked out for months. Open the dates you want to fill, and clients can book them long in advance, while the reminder the day before makes sure nobody forgets an appointment made in winter for May.

For a flash day, use a schedule for that specific date: short slots of 30–60 minutes and a list of ready-made flash designs as services with fixed prices. The day is shown on the booking page only when you open it.

A studio with several resident artists uses the Team plan: a shared calendar, one studio booking page where the client first picks the artist, and separate schedules for everyone. A guest artist who works with you for two weeks gets their own calendar for exactly those dates. If the studio has two locations, both fit in one account.

Questions about tattoo booking software

Can clients pay a tattoo deposit online when they book?

Yes. The client pays by card through Stripe while booking, and you choose the deposit as a percentage of the service price. If the client cancels within your terms, the deposit is refunded automatically.

How do I book several sessions for one tattoo?

Create a session service with the right length and add the follow-up appointments yourself in the calendar after the first session. Each session gets its own confirmation and reminder.

Can I show prices as "from" or per hour?

Yes, the price is free text next to each service, so "from €150" or "€110 / hour" works. The duration still controls which slots the client sees.

Where do I keep notes about the sketch and placement?

In the client card. It stores your notes and the full visit history, so for the next session you see the agreed design, size and placement straight away.

Does it work for a studio with guest artists?

Yes, on the Team plan. Each artist has their own schedule in a shared calendar, and a guest artist can be available only on the dates of the guest spot.

Do clients need to install an app to book?

No. The booking page opens in any browser from Instagram, WhatsApp or a QR code, and booking takes four steps without registration.

How much does Klendr cost for a tattoo artist?

Individual costs €10 per month or €96 per year, Individual Plus costs €15 per month with 50 SMS included. You can try everything free for 14 days.
