Booking page for personal trainers
Online booking for personal trainers is one part of Klendr: it is a booking and bookkeeping system for coaching sessions. Clients book a 7:00 or 19:00 workout from a link, and the same calendar sends invoices, logs each client's sessions and injuries, counts the protein bars you sell and shows hours trained and revenue.
Start free — 14 days →More than online booking for personal trainers: sessions, invoices and numbers in one place
Between two clients there is no time for paperwork, yet at month end you still need to know who has paid, how many hours you actually trained and whether the Saturday slots are worth keeping. Klendr turns every booked workout into a record you can bill, look back on and count.
- Accounting and invoices — a PDF invoice with VAT for a client or for the company that pays for its employees' training, sent automatically after the session or as a monthly total, with a due date and late interest. Export a month of invoices as CSV and a PDF archive for your accountant, plus the deposits taken through Stripe. More in payments.
- Inventory management — if you sell protein bars, shakers or resistance bands at the gym, add them as products, put them on the session invoice and get an email when the last box is nearly empty.
- Client history — every session, amount, no-show and your notes in one card: "left knee, no deep squats; deadlift 60 kg × 5".
- Analytics — revenue, hours trained per week, the busiest mornings and evenings and your most regular clients in analytics.
- Online booking and reminders — one link for your Instagram bio and a QR code at reception, a calendar for several gyms, email and SMS reminders the day before, Google and Apple Calendar sync and an Android app. See the booking page.
Why personal trainers switch to online booking
Most of a trainer’s day is spent on the gym floor with the phone in a locker. Messages like "anything free on Tuesday morning?" pile up between sets, and by the time you answer, the client has lost the motivation or found another coach. The hours when people actually plan their workouts — late evening and Sunday — are exactly when you want to rest.
A booking page answers that question for you. The client opens klendr.me/your-name from Instagram or WhatsApp, chooses "Personal training 60 min", sees only the hours that are really free and books in four steps without an app or an account. The session lands in your calendar and the client gets a confirmation by email.
Morning and evening windows, more than one gym
Trainers rarely work a straight nine-to-five. A typical week is 6:30–10:00 and 17:00–21:00 with a long gap in the middle. In Klendr you set working hours for each day and add the midday break, so clients only see the early and late windows. If your week alternates — Saturdays every other week, for example — use A/B weeks instead of editing the calendar by hand.
If you coach in two gyms, the schedule for separate dates helps: Monday and Wednesday at one club, Friday at another, or a one-off Saturday session in the park. Put the place in the service name or description, for example "Personal training — Ülemiste gym", so nobody turns up at the wrong door. A group of trainers with several addresses works on the Team plan with one shared calendar.
Split training for two as its own service
Friends, couples and colleagues often want to train together and share the cost. Create "Split training for two, 60 min" as a separate service with its own price. It takes the same hour in your calendar as a one-to-one session, but the pair sees the price up front and you do not have to explain it in chat.
One person books the slot, and you write the training partner’s name in the client card. A 45-minute intro session with a fitness assessment works well as another short service: it gives newcomers an easy first step and fills the gaps between longer sessions.
Fewer skipped sessions: reminders and a no-show fee
An empty hour at 7:00 cannot be resold — you already got up and drove to the gym. Klendr sends a confirmation right after booking and a reminder the day before by email and SMS, in the client’s language. If plans change, the client moves or cancels the session with the link in the email, and the slot opens for someone else.
For clients who skip without a word, connect payments through Stripe. You choose one mode for the whole account: a deposit, where a percentage of the price is charged at booking, or a no-show fee, where the card is saved and the percentage is charged only if the client does not come. The second mode suits regular clients well, because the reliable ones pay nothing in advance. When a session is cancelled, the deposit goes back to the client.
Client notes and regular clients
In the client card you see every visit and your own notes: goal, current working weights, the knee the client mentioned at the first session, the time of day they prefer. Before an early session you open the card on your phone and know where you stopped last time. You can export the whole list of trainees, notes included, at any time.
Regulars book their next sessions through the same permanent link, or you drag the next appointment into the calendar yourself at the end of a workout. Klendr does not sell session packages, so take payment for a block of ten sessions the way you do now. When you open new evening hours or a summer schedule, send an email campaign to all clients or only to those who speak a certain language.

Your trainees see these sessions on the booking page. The length matters: the calendar blocks exactly that time and offers clients only slots where the whole session fits.

Questions from personal trainers
What is a good booking app for a personal trainer?
One where clients book without installing anything. In Klendr the client opens your link, chooses a session and a free time, and gets a confirmation and a reminder. You keep the calendar, client notes and payments in one place, in the browser or the Android app.
Can I work in several gyms?
Yes. Set working hours for each day, use the schedule for separate dates and name the place in the service or its description. Several trainers with several addresses use the Team plan with a shared calendar.
How do I offer training for two people?
Create split training as a separate service with its own price for the pair. One person books the slot and you note the training partner in the client card.
How do I stop clients from skipping sessions?
Reminders the day before by email and SMS already help. On top of that you can turn on a no-show fee through Stripe: the card is saved at booking and your chosen percentage is charged only if the client does not show up.
Can clients buy a package of ten sessions online?
No, Klendr does not sell packages or memberships. Each session is booked on its own, by the client through your link or by you in the calendar, and you take payment for the block as you do today.
Does it sync with Google Calendar?
Yes, Klendr syncs with Google Calendar and Apple Calendar, so your sessions show up next to your private plans on the phone.
How much does a booking system for a trainer cost?
You try everything free for 14 days without a card. After that a solo trainer pays €10 a month on Individual (€96 a year), or €15 a month on Individual Plus with 50 SMS included.
Your booking page is ready in about ten minutes. 14 days free, no card needed.
