Booking page for tutors

Online booking for tutors is only the start: Klendr is a booking and bookkeeping system for private tutoring. Parents book lessons from a link, and the same calendar sends invoices for the month, keeps every student's lesson history, tracks the workbooks you sell and shows your earnings in clear reports.

More than online booking for tutors: lessons, invoices and reports in one calendar

A tutor's admin rarely fits in a diary: who paid for March, which family still owes for two lessons, how many hours went into exam prep this term. In Klendr every booked lesson is also an accounting record, so the paperwork builds itself while you teach.

  • Accounting and bookkeeping โ€” a PDF invoice with VAT to the parent after each lesson or one for the whole month, with a due date and late interest. At month end you export all invoices as CSV and a PDF archive for your accountant. Klendr prepares the documents; the books stay with your accountant. See payments and invoices.
  • Inventory management โ€” if you sell exam practice books or printed worksheet packs, add them as products, put them on an invoice and get an email when only two copies are left.
  • Student history โ€” every lesson, topic note, amount paid and missed hour in one card: "Mark, 8th grade, 14 lessons, owes โ‚ฌ44".
  • Analytics โ€” earnings per month, hours taught, busiest weekdays and the students who book most, in analytics.
  • Online booking and reminders โ€” klendr.me/your-name for the parents' chat, a confirmation at once and an SMS the evening before, a lesson calendar with school holidays and Google or Apple Calendar sync. Works in the browser and in the Android app.

Why online booking for tutors saves your evenings

Most tutoring is booked between 19:00 and 22:00, when parents finally sit down and look at the school diary. That is exactly when you are teaching, so the messages pile up: "Do you have Tuesday after training?", "Can we move Thursday?", "How much is the exam course?". By the time you answer, the family has found someone else.

A booking page answers those questions while you teach. The parent opens your link, sees only the hours that are really free and books in four steps, with no app and no account. The lesson lands in your calendar, and the parent gets a confirmation by email straight away.

The parent books, the child comes to the lesson

With school students the person who books and pays is usually a parent, while the one who sits at the table is a 13-year-old. In Klendr the parent books under their own name, phone and email, so reminders and confirmations go to the adult who plans the week. In the client card you add a note with the child's name, grade and what you are working on: "Mark, 8th grade, linear equations, test on 14 March".

The card keeps the whole visit history, so before each lesson you see when the last one was and what was planned. When siblings study with you, keep each child as a separate note or a separate card, whichever is clearer for you. The base can be exported at any time.

Online and in-person lessons as separate services

Many tutors teach at home on weekdays and online in the evening or for students from other towns. Create "Maths lesson 60 min โ€” in person" and "Maths lesson 60 min โ€” online" as two services with their own prices, and the parent chooses the format right on the booking page. Put the address or the words "online, link by email" into the description.

Klendr has no built-in video calls. You run the lesson in Zoom, Google Meet or Teams and send the link to the student yourself, for example in WhatsApp the evening before. A 45, 60 or 90-minute lesson blocks exactly that much time in the calendar, so an online lesson never overlaps a home lesson.

Before exams: more hours, faster booking

In April and May everyone remembers the final exams at once, and a tutor who had five students suddenly gets fifteen requests. Open extra hours for exactly those weeks with the schedule for separate dates, for example Saturday mornings in May, and they appear on the booking page without changing your normal week.

To fill the new hours, send an email campaign from Klendr to your students' families: "Extra exam prep slots in May, book via the link". If someone asks in a messenger instead, copy your free times as text with one tap and paste them into the chat. In summer, mark your vacation so nobody can book a lesson in July.

Cancelled at the last minute? Missed lessons and payment

A lesson cancelled an hour before start is an hour you cannot sell again. A reminder by email and SMS the day before gives the family a chance to move the lesson through the link in the email instead of simply not coming, and the freed hour reopens on your booking page.

If you want firmer rules, turn on payment via Stripe. You choose one mode for the whole account: a deposit as a percentage of the lesson price, charged at booking, or a no-show fee, where the card is saved and the percentage is charged only if the student does not come. Klendr does not sell lesson packages, but you can send parents an invoice in PDF, for example for the month's lessons.

This is how lessons look on the booking page. The duration tells the calendar how long to block, so a 90-minute exam session and the next student never collide.

Questions about tutor scheduling software

Can a parent book a lesson for their child?

Yes. The parent books under their own name and contacts and receives the confirmation and reminders. You keep the child's name, grade and topics as a note in the client card.

How do I offer both online and in-person tutoring?

Create them as separate services with their own price and description. The parent picks the format when booking. The video call itself runs in Zoom, Meet or Teams, and you send the link.

Can I set up a weekly lesson for a regular student?

You add the coming lessons to the calendar yourself, for example a month ahead, or the family books each next lesson from your usual link. Every lesson gets its own reminder.

Can I charge for lessons cancelled at the last minute?

Yes, with the no-show fee mode via Stripe: the card is saved at booking and a percentage you set is charged only if the student does not come.

Can I add extra hours before exams?

Use the schedule for separate dates to open extra hours for specific days without touching your usual week.

How much does a booking system for a tutor cost?

Individual costs โ‚ฌ10 per month or โ‚ฌ96 per year; Individual Plus with 50 SMS is โ‚ฌ15 per month. Both start with a 14-day free trial.
